UTCT SPECIAL EDITION 2020


VOLUNTEER SIGN UP INFORMATION


UTCT Special Edition has been given the go-ahead and we require assistance from you to help us to make it happen. We have put together some basic information to provide you with all you will need regarding working on the event. Before you sign up as a volunteer, please read through the following information so that you understand the roles and responsibilities around volunteering.


Being a volunteer at UTCT Special Edition this year will be a slightly different experience given the current environment events are operating under. We are looking for hard working, dedicated people who love running and being outdoors. You also need to understand that it is a long day out there and that signing up is a commitment not to be taken lightly. We rely heavily on our volunteers and it is a serious responsibility - last minute cancellations throw the team out - it is not cool unless you have a valid reason!


There is no pay, but you get to spend the day helping runners either out on the route or at the Race Village. It is, without a doubt, some of the best times you will have working on an event. The trail community is a special one and it is rewarding to be a part of an event where the sense of community is so apparent. All we ask is that you bring a sense of humour, a desire to work hard and give back to the trail running community.


CURRENT EVENT SITUATION:

The UTCT Team has formulated a set of Standard Operating Procedures to ensure the safety of all associated with the event - from participants to volunteers, to staff and suppliers, plus spectators. We have worked closely with other key role players in the event industry, as well as referring to the current WHO Guidelines on the pandemic, and the International Trail Runners’ Association (ITRA) guidelines for trail running events to provide COVID-19 specific processes and protocols for the UTCT 2020.


VOLUNTEER ROLES:


Please note that due to Covid-19 regulations, we have a limit on the number of people we can have working on the event so spots are limited. Make sure you sign up early to secure your spot. There are various roles we are looking to fill so please make sure you indicate your preference when you sign up:

  • Route Markers - Friday
  • Registration Jack Black Brewery - Thursday & Friday
  • Registration Gardens Rugby Club - Friday
  • Forerunners - Saturday
  • Sweeps - Saturday
  • Start Finish Staff - Saturday
  • Checkpoint 1: Woodhead Dam - Saturday
  • Checkpoint 2: King's Blockhouse - Saturday
  • Mountain Marshals - Saturday


ROUTE MARKERS:

Our Route Markers are required on Friday (27 Nov) only to assist with marking various parts of the route. This is a small, experienced group who can work well in a team and are used to a long day out on sections of the route, often in the heat of the day.


REGISTRATION:

We have two Registration Venues - Jack Black Brewery and Gardens Rugby Club. We require volunteers to assist on two days (Thursday 26 & Friday 27 Nov) at Jack Black Brewery and on one day (Friday 27 Nov) at Gardens RC. Please select your venue of choice and the day/s you can assist.


FORERUNNERS:

Our Forerunners are required from the early hours of Saturday. This is also open to a small, experienced group of trail runners who can work well in a team. Both loops will require groups of forerunners to run ahead of each race to ensure the route is well marked and everything is in place for the runners.


SWEEPS:

Our Sweeps are required for Saturday and must be prepared to be out there for the long haul. Most of you will run behind the slowest runner, so it is going to be a long hike rather than a run. Positions are also limited.


START/FINISH STAFF:

We require volunteers to assist at Start Finish to assist on Race Day (Sat 28 Nov). These volunteers will assist with Runner Sign In (C-19 forms, temperature checks), Late Registration, Aid Station and general admin around the Race Village. We will have two 8 hour shifts - AM 04h30 to 12h30 / PM 12h30 to 20h30. Please indicate which shift you would like to work.


CHECKPOINT 1: WOODHEAD DAM

We require a team to manage the Checkpoint at Woodhead Dam. There are two shifts - AM 06h00 to 13h00 / PM 13h00 to 19h00 and a team of 4 per shift. You will be required to record runners through the checkpoint and supply them with Coke, water or Red Bull. No food at the Checkpoints. There will be a Medic and a SAR team stationed at the Checkpoint.


CHECKPOINT 2: KING'S BLOCKHOUSE

We require a team to manage the Checkpoint at King's Blockhouse. There are two shifts - AM 06h00 to 13h00 / PM 13h00 to 19h00 and a team of 4 per shift. You will be required to record runners through the checkpoint and supply them with Coke, water or Red Bull. No food at the Checkpoints. There will be a Medic and a SAR team stationed at the Checkpoint.


MOUNTAIN / ROUTE MARSHALS:

We require Mountain / Route Marshals at strategic points along the route on race day. These marshals are required to:

  • Direct the athletes, make sure they cross roads safely or find the correct trail.
  • Have route knowledge and know the route in and out from their position.
  • Take runners race numbers and timing at strategic points of the race.


VOLUNTEER BRIEFINGS:

These will be done via email and/or video links due to current circumstances.
